Health and Safety Policy

Introduction

Summus Technology Solutions Ltd is a remote-first company. This policy sets out how we protect the health, safety and wellbeing of our employees, contractors and visitors, given the way we actually work, and complies with the Health and Safety at Work etc. Act 1974 and related UK regulations.

This policy applies to all employees, contractors and directors, wherever they are working.

Our Approach: Remote-First

We do not require employees or contractors to attend any premises for day-to-day work or routine meetings. Our teams work remotely by default, and all internal meetings are held online unless there is a specific business reason for people to meet in person.

Because we do not maintain a fixed office that staff are required to attend, our health and safety focus is on:

  • Supporting employees to work safely from their chosen remote working location;
  • Ensuring that when face-to-face meetings or events are necessary, they take place in a venue that meets proper health and safety standards;
  • Making sure everyone understands their responsibilities and how to raise a concern, wherever they are working.

Remote and Home Working

Employees and contractors working remotely are responsible for ensuring their workspace is reasonably safe and suitable for the work being done. We support this by:

  • Providing guidance on setting up a safe home working space, including basic display screen equipment (DSE) and ergonomics advice;
  • Encouraging regular breaks and sensible working hours, and discouraging excessive or unsafe working patterns;
  • Asking employees to report any health and safety concerns about their working environment to their manager, so we can help resolve them;
  • Making reasonable adjustments to support employees with disabilities or health conditions in their home working arrangements.

Face-to-Face Meetings, Conferences and Events

Where a meeting, workshop, conference or client event genuinely requires people to be in the same room, we do not host this on any premises of our own. Instead, we hire a suitable third-party venue.

Any third-party venue used for this purpose must:

  • Operate its own written health and safety policy;
  • Have the standard controls in place that you would expect of a professional venue, including fire safety and evacuation procedures, first aid provision, accessible facilities, and appropriately maintained premises and equipment;
  • Be able to provide evidence of these controls on request, such as a fire risk assessment, public liability insurance, or relevant accreditation.

Whoever organises the event on our behalf is responsible for checking these points with the venue before booking, and for briefing attendees on the venueโ€™s fire and emergency procedures at the start of the event.

Travel

Where travel to a venue or client site is required, employees and contractors should plan journeys sensibly, avoid unsafe or excessive travel, and follow all relevant safety guidance from the venue or client site they are visiting.

Equipment

Where we provide equipment for remote working, such as laptops or accessories, we aim to ensure it is safe to use and fit for purpose. Employees should report any faulty or damaged equipment promptly so it can be repaired or replaced.

Reporting Concerns and Incidents

Any health and safety concern, near miss, or incident, whether it relates to remote working, a hired venue, or travel, should be reported to your manager or to legal@summus-technology.co.uk as soon as possible. All reports will be reviewed, and where necessary, we will follow up with the venue or take other corrective action.

Responsibilities

Overall responsibility for health and safety sits with the senior management of Summus Technology. All employees, contractors and managers are expected to:

  • Take reasonable care of their own health and safety, and that of anyone affected by their work;
  • Follow this policy and any related guidance;
  • Report hazards, concerns or incidents promptly;
  • Cooperate with any checks or improvements made under this policy.

Monitoring and Review

We will review this policy at least annually, or sooner if our working arrangements change, to make sure it continues to reflect how we actually work and continues to meet our legal obligations.

This policy was approved by senior management and published on 13 August 2026, and will next be reviewed no later than August 2027.
